What we collect, why, who helps us, and when it's deleted, in plain words.
Last updated: 6 October 2026
The short version
- We collect only what we need to make your letters and certificates.
- First names are enough. Last names are optional, stay on your device and are never saved.
- The names, notes, recordings, letters and certificates in an order are deleted 30 days after the order is finished, or 60 days after an order is started and never finished.
- We never sell your information, we don't use it for advertising, and the pages where you write carry no advertising tags.
Who we are
learnerborn ("we", "us") makes personal letters and award certificates for groups at learnerborn.com. This policy covers learnerborn.com and the pages where you make your letters. You can reach us at admin@learnerborn.com.
What we collect
About you, the person ordering
- Your name and email address, to send your receipt and, if you ask, a sign-in link back to your order.
- Your order: what you're making, how many people, the price, and the dates.
- Your group's details: its name, colors, logo if you add one, and how you sign the letters.
- Payment details go straight to Stripe. Stripe tells us whether a payment went through; we never see or store your card number.
- Anything you write to us by email.
About the people in your group
- First names.
- Last names, only if you choose to add them. They stay in the browser on your device and are never sent to or saved on our servers.
- The notes you type or say about each person. If you tap to talk, we receive the recording of your voice and turn it into text. Only you, the adult, should record; please don't record children.
- The letters, award titles and certificates made from your notes.
- Family email addresses, only if you choose to email the pages to families.
When you use the site
- Basic technical information any website receives, such as your IP address, browser type and the pages you open, kept in our providers' server logs.
- Which step of the order form you reached, counted with a random number that lasts only as long as your browser tab. It is not linked to your name or email.
- Browser storage on your device that keeps you signed in to your order, keeps your place, and keeps unsaved notes and recordings safe until they're saved. We don't use advertising cookies.
How we use it
- To make, show and deliver your letters and certificates, and to take payment.
- We use AI to draft each letter from only the notes you give us. We send the AI service only what it needs to write: first names, your notes and your group's details.
- To send your receipt, a sign-in link if you ask for one, and the emails you choose to send to families.
- To answer you when you write to us, to fix problems, to prevent fraud and to keep the service secure.
- To count, without names, how many people reach each step of ordering, so we can make it easier.
We never sell your information or share it for advertising, we don't build profiles of the people in your group, and we don't use their names or your notes for anything other than your order.
Who helps us
These service providers handle information for us, only to provide their service:
- Stripe, for payments.
- Supabase, for our database, file storage and sign-in links.
- Our website host: the site is published through Lovable and served through Cloudflare.
- Anthropic, whose AI drafts the letters and certificates.
- OpenAI, which turns spoken notes into text, and which can draft letters if Anthropic is unavailable.
- Resend, which delivers the emails you choose to send to families.
- Google Fonts, which serves the typefaces on our pages, so Google receives your IP address and browser details when a page loads.
Anthropic's and OpenAI's published terms for business customers say they don't use what we send through their services to train their models. They keep it for a limited time under their own policies; Anthropic, for example, deletes it within 30 days. Stripe also uses information about your device during checkout to prevent fraud, under its own privacy policy.
We may share information if the law requires it, to protect people's safety, or with a buyer of our business, who would have to keep this policy's promises.
How long we keep it
- The names, notes, recordings, letters, certificates, logos and family email addresses in an order are deleted 30 days after the order is finished, or 60 days after an order is started and never finished. Please download your files before then.
- We keep a basic record of each order (your name, email, what you bought, the amount and the dates) for as long as we need it for accounting, tax and payment questions. It holds no names or notes about the people in your group.
- You can ask us to delete an order sooner at any time.
Children, students and schools
learnerborn is for adults 18 and over. It isn't directed to children, children don't use it, and we don't collect information from children. The adult who leads a group tells us first names and a few kind observations.
Please keep notes to kind, true moments. Leave out last names unless you want them printed, and leave out grades, test scores, health, disability, discipline, family circumstances and anything else private.
learnerborn is a tool individual adults buy for their own group. We don't sell student information, use it for advertising or build profiles from it, and we delete it on the schedule above. If your school or district has rules about the tools you use with student information, please follow them, and write to us if you need something from us to do so.
If you think a child has given us information, write to us and we'll delete it.
Your choices and rights
- Ask to see the information we hold about you or your order, or to correct or delete it, by writing to admin@learnerborn.com. We'll answer every request, wherever you live.
- Leave out last names: first names are all we need.
- Choose whether to email pages to families. Nothing is sent unless you send it.
We don't sell or share personal information for cross-context advertising, as those terms are used in US state privacy laws.
Tracking and Do Not Track
We don't track you across other websites, and we don't let advertising companies collect information about you on our pages. Because of that, the site works the same way whether or not your browser sends a Do Not Track signal.
Security
Information travels to and from learnerborn over an encrypted connection. Each order can only be opened by the person who placed it, our providers protect stored information with their own security programs, and card payments are handled by Stripe, a certified PCI service provider. No system is perfectly secure, so if we ever learn of a breach that affects you, we'll tell you as the law requires.
Where information is processed
learnerborn is run from the United States, and our providers process information in the United States. If you use learnerborn from elsewhere, your information is processed there.
Changes
If we change this policy, we'll update the date at the top of this page. If a change affects how we use information we already hold, we'll tell you by email before it takes effect.
